Mazlan Home: Using the new command centre for Ideagen Procedure Management (standard login)

Mazlan Home is Ideagen's new unified login and admin platform, and Ideagen Procedure Management is moving to it. We'll walk you through everything you need for a smooth transition: what to prepare beforehand, what changes on the day, what doesn't, and how to get your team up and running afterwards.
1. Understanding key migration elements
Before your migration, familiarise yourself with these critical points:
- Most users will need to set a password once Mazlan Home goes live, either via their welcome email or the Forgot Password option (this doesn't apply to SSO customers)
- As Tenant Admin, you'll receive your own welcome email automatically once migration completes. Your other users' welcome emails will be manual by default — you'll be able to trigger them individually or in bulk from the Mazlan Home Admin Console, or set them to send automatically for all users under Mazlan Home Admin Console Communication
- Welcome emails come from app@hub.ideagen.com. This address still says "hub" rather than "Mazlan Home" for now, but it's a legitimate email from Ideagen, not a phishing attempt
- Mazlan Home will be released in stages, so watch for an email or in-product message with your exact go-live date
With those basics in mind, here's how to get ready before your go-live date arrives.
2. Completing pre-migration tasks
To prepare for a smooth transition, complete these steps before your go-live date:
- Ask your IT team to whitelist app@hub.ideagen.com: welcome emails will be sent from this address, so make sure your IT team whitelists it before your migration date to prevent emails being blocked or flagged as spam.
- Tidy up your user list: review your current users in Procedure Management and archive or delete anyone who no longer needs access.
- Notify your team: let your staff know about the upcoming login change before your migration date using the ready-made email template provided.
Note: Email has always been required at sign-up for Procedure Management, so no separate pre-migration check is needed — every active user should already have one on file. What's worth reviewing beforehand is any fake or placeholder email addresses, since email is one of the fields used to link a user's Procedure Management and Mazlan Home accounts. If you spot any, update them to real addresses ahead of your migration date.
3. Reviewing what changes during migration
Once the steps above are ticked off, you're ready for go-live. Here's exactly what to expect once you've migrated to Mazlan Home.
Login and access
- Setting your password: Use the link in your welcome email, or select Forgot Password on the Mazlan Home login screen to receive a reset link. Either way, make sure your username matches exactly what's in Procedure Management, as this is the link between the two systems. Downtime is minimal, the system stays available throughout. This step won't apply to users who login via SSO (see point below).
- SSO customers: Only a small number of Procedure Management customers use SSO. These migrations run in the later stages of the September to November rollout (October/November), and you'll receive a separate communication confirming your date and setup steps. Dedicated SSO documentation is coming soon.
- Mobile app: Behaves exactly as before. Open the app, enter your domain (or go to the normal log-in page), and authentication happens automatically via Mazlan Home.
- Unified access: One login connects you to all your Ideagen products and Luminate support, on our most secure and modern architecture yet.
- System Fields in Forms: System user fields (username, email, mobile phone, job title) can't be auto-edited via Forms when connected to Mazlan Home. If a user submits a form with changes to these fields, they'll see a notification confirming the submission was successful but that these fields weren't updated. We're working on a solution — in the meantime, any updates to these fields need to be made manually in the Mazlan Home Admin Console (and may require some adjustments to those forms so you can still capture the information you need).
User accounts and permissions
- User creation still happens through Procedure Management, so any APIs you use continue to work as normal. Only username, first name, last name, email, mobile phone and job title move to the Mazlan Home Admin Console — everything else stays editable in Procedure Management, and only Tenant Admins can update those moved fields.
- Roles carry across automatically: Procedure Management Admins become Tenant Admins, everyone else becomes a User. You're free to adjust these once your migration is live.
- Admins can no longer set a user's password directly. Going forward, users set their own password via their welcome email link or the Forgot Password option.
- Mobile phone numbers require a country code — already live in Procedure Management, so no action is needed here.
- Regular users' welcome emails aren't automatic by default. Trigger them individually or in bulk from the Admin Console (see Section 5), or switch on automatic sending under Admin Console Communication. Your own welcome email, as Tenant Admin, always sends automatically.
Look and feel
We know how much you value your branding, and we've worked to preserve as much of it as possible. A couple of necessary changes are outlined below.
- One custom branding colour will be removed from your site, but you can still choose to keep a primary colour.
- A new top navigation bar lets you move between Procedure Management and Mazlan Home, matching the interface of other Ideagen products. It now sits above your banner image, rather than below it as it does today. Its teal colour is fixed, as part of Ideagen's move toward a consistent look and feel across all our products.
4. Understanding what stays the same
That's a lot of change to take in, so here's the reassuring part: most of Procedure Management stays exactly as you know it.
- Your login experience: You access Ideagen Procedure Management through Mazlan Home using your existing username
- Your product interface: Ideagen Procedure Management works the same day-to-day, aside from the top navigation bar and branding colour changes covered above
- Your data and workflows: Everything remains intact with zero data loss
- Your day-to-day permissions: Your access level and what you can do inside Procedure Management doesn't change. The only shift is where a handful of admin fields and role names once created, can only be edited by a Tenant Admin in Mazlan Home.
5. Completing post-migration setup
Once your organisation has been migrated, here's how you, as the admin who's guided your team through this, get everyone else up and running:
- Log in as Tenant Admin: as an existing Procedure Management administrator, you'll automatically become a Tenant Admin in Mazlan Home.
- Use the instructions in your Welcome Email from app@hub.ideagen.com to log in and set your password.
- Open Mazlan Home: once logged in, select the dropdown banner menu on the top left-hand side of your screen.
- Navigate to the Admin Console.
- Find your users in the Admin Console and select the email icon next to each one to send their Welcome Email.
- Ask users to log out and back in: once a user has set their password, allow a few minutes for this to take effect, then ask them to log out of Ideagen Procedure Management and log back in through Mazlan Home to make sure their session is fully connected and their interface updates correctly.
Once you're in, take a few minutes to click through the menus and settings — that's the quickest way to get comfortable with Mazlan Home.
