1. About the migration
What is Mazlan Home, and why is this happening?
Mazlan Home is Ideagen's new command centre for operational excellence, unifying every solution and integrating Luminate customer support into one secure platform. Single sign-on eliminates friction, and the platform runs on our most advanced architecture yet.
How does this differ from my current Procedure Management login?
Instead of logging into Procedure Management directly, you'll log in through Mazlan Home, which then connects you to Procedure Management and any other Ideagen products you use, plus Luminate support, all with one login. Most users will need to set a new password the first time they log in through Mazlan Home. Your existing username stays the same, you're simply signing in via Mazlan Home rather than the old direct sign-in page.
Is there downtime?
Downtime is minimal — Procedure Management stays available throughout your migration.
Is this mandatory?
Yes, migrating to Mazlan Home is mandatory for all Procedure Management customers.
What about security?
Mazlan Home runs on our most secure infrastructure yet, meeting the highest industry standards for data protection and compliance.
2. Before your migration
Do I need a valid email address on file for every user?
You don't need to check this specifically, email has always been a required field at sign-up in Procedure Management, so every active user already has one on file. What's worth reviewing beforehand is any fake or placeholder email addresses, since email is one of the fields used to link a user's Procedure Management and Mazlan Home accounts. If you spot any, update them to real addresses ahead of your migration date.
Are there username format restrictions?
No, there are no username format restrictions for Procedure Management.
Do we need to update URL allowlisting?
No, Procedure Management doesn't require URL allowlisting. The only thing to whitelist is the welcome email sender address, app@hub.ideagen.com (see below).
Anything else to prepare before migration?
- Ask your IT team to whitelist app@hub.ideagen.com. Welcome emails are sent from this address, so whitelisting it ahead of your migration date stops them being blocked or flagged as spam.
- As Tenant Admin, you'll receive your own welcome email automatically once migration completes. Your other users' welcome emails are manual by default, you can trigger them individually or in bulk from Mazlan Home > Admin Console. If you'd rather they go out automatically for all users, set that as the default under Mazlan Home > Admin Console > Communication.
- Tidy up your user list beforehand, archive or remove anyone who no longer needs access.
- If you have a large number of users needing email addresses added, reach out through Luminate and Support will provide a template.
What do we need to do about SSO?
Procedure Management has a small number of SSO customers. These are expected to migrate in the later stages of the rollout (October or November). If this applies to you, you'll get a separate communication confirming your exact date and any steps specific to your setup. Dedicated SSO migration documentation is coming soon.
3. The login experience
What actually changes when I log in?
- You'll set a new password the first time you log in to Mazlan Home.
- You'll sign in via Mazlan Home rather than the direct login page you use today. Your username stays the same, but you'll set a new password.
- One login now connects you to Procedure Management, your other Ideagen products, and Luminate.
- A new top navigation bar appears across the top of Procedure Management, matching the look of other Ideagen products, and now sits above your banner image rather than below it as it does today. Its teal colour is fixed and can't be changed.
- One custom font colour option has been removed from your site, though you can still choose a replacement to keep your branding.
Your login URL and steps aren't changing, the only visible difference is the new top navigation banner, screenshot included in Mazlan Home: Using the new command centre for Ideagen Procedure Management (standard login).
Will my bookmarks still work?
Yes, your existing bookmarks to Procedure Management still work after migration.
What about mobile?
The Procedure Management mobile app behaves exactly as before. Open the app and enter your domain (or go to the normal log-in page), authentication happens automatically via Mazlan Home, and you're returned to the app to use as normal. One thing to note: mobile app users can't update their own email address through the app, an admin will need to update it via the admin interface, or the user can update it themselves via the web version.
What about public QR code access?
Not applicable, Procedure Management doesn't offer public QR code access.
What about deep links from notifications or emails?
Yes, deep links from notifications or emails still work after migration.
What about links to reports, such as Insight or Cognos?
Not applicable, Procedure Management doesn't have an Insight/Cognos integration.
What does the new login screen look like?
Your login screen itself doesn't change, only the top navigation banner is new, see Mazlan Home: Using the new command centre for Ideagen Procedure Management (standard login) for a screenshot.
What browsers are supported?
The same browsers Procedure Management supports today, browser support doesn't change with Mazlan Home.
Do I need to retrain my team?
The core functionality of Procedure Management stays exactly the same. The main changes are how you log in and navigate between apps, and we provide quick-start guides to help your team adjust.
What if I can't log in?
Select Forgot Password from the Mazlan Home interface to receive a reset link, you don't need your welcome email first. Your welcome email from app@hub.ideagen.com also contains a direct link to set your password if you'd prefer to use that instead. As Tenant Admin, yours arrives automatically once migration completes. If you're a regular user and haven't received one, check with your Tenant Admin, they may need to send it to you manually from the Admin Console. Remember, your username stays the same, but you're now signing in via Mazlan Home rather than the old direct login page, so if you're trying your old login page, that's expected not to work. Can I still access my product the "old" way?
No, the old direct sign-in page is retired after migration. Access is through Mazlan Home from that point on, using your existing username and a new password.
How do I access Mazlan Home?
The steps are the same for every customer, see Mazlan Home: Using the new command centre for Ideagen Procedure Management (standard login) for the full walkthrough (log in with your existing username, set your password on first login, and you're in).
4. Languages
Does Mazlan Home affect Procedure Management's language support?
No. Mazlan Home's own layer is English-only. Procedure Management itself is also English-only, customers who need other languages typically use a browser-based tool like Google Translate, this isn't native multi-language support built into the product. Multi-lingual Mazlan Home is on the roadmap.
5. Your data and integrations
Will I lose any data?
No. Only authentication migrates, your data doesn't move and all active users are transferred.
What about integrations, such as APIs I use for user creation?
User creation still happens through Procedure Management, so any APIs you use for that continue to work as normal. There are no other third-party integrations affected by the migration.

What do I gain from Mazlan Home?
Single login across your Ideagen products, Luminate support integrated and one click away, and built on our most secure infrastructure yet.
7. Multiple products and databases
If I use more than one Ideagen product, does one login cover everything?
Generally yes, one login covers everything in your Mazlan Home dashboard. In some cases, depending on your hosting setup, you may need a separate login for certain products. If this applies to you, our team will confirm the details specific to your organisation.
8. User preferences and settings
Will my preferences and configurations carry over?
Mostly, yes, but a few admin-related fields work differently after migration:
- Username, first name, last name, email, mobile phone, and job title move to the Mazlan Home Admin Console. All other user fields stay editable in Procedure Management as before.
- Only Tenant Admins can update the fields that moved, other users with User Management access in Procedure Management will need to ask a Tenant Admin to make those changes.
- Roles carry across automatically: Procedure Management Admins become Tenant Admins in Mazlan Home, and all other users become Users. You're free to adjust these roles once your migration is live.
- Mobile phone numbers now require a country code. This update has already been introduced into Procedure Management, so there's nothing extra to do at migration.
- Admins can no longer set a user's password directly. Users set their own password via their welcome email or the Forgot Password option on the Mazlan Home login screen.
- Fixed user fields (username, email, mobile phone, job title) currently can't be auto-edited via Forms when connected to Mazlan Home. If a user submits a form with changes to these fields, they'll see a notification confirming the submission was successful but that these fields weren't updated. This is being worked on — for now, any changes to these fields need to be made manually in the Mazlan Home Admin Console (you may need to amend the form to capture this information).
