Bulk importing and updating locations

Administrators who need to create or update multiple locations.
Administrator access and location management permissions are required.
Bulk location management allows Administrators to efficiently create or update multiple locations using a spreadsheet rather than editing locations one at a time.
This article explains how to perform a bulk import or update.
1. Preparing the import
1.1. Permissions
Before you start, ensure you have the following:
- Administrator access
- Access to Location Management
- Understanding that location names are unique identifiers
Important
Location names are unique. Changing a location name during a bulk import will create a new location. Location names can only be changed by editing the individual location record.
1.2. Template
To download the template:
- Click Admin.
- Select Locations (or Location Management).
- Click the Ellipses (three dots) menu.
- Select Import Locations.
- Click Download template.
Important
Always download a new template for each import. Templates may change, and uploading an older version can result in errors. Do not download a new template if you are only updating existing locations.
1.3. Import file
To complete the import file, fill out the following fields:
- Location name
- Type
- Phone number
- Address:
- Street number
- Street name
- Suburb
- State
- Postcode
- Country
All other fields are optional and can be completed later through another bulk import or by editing locations individually.
2. Performing the import
To import your spreadsheet:
- Return to Location Management.
- Click Import.
- Select your completed spreadsheet.
- Once imported, review the results.
If successful, a confirmation message appears and all locations display.
If errors occur:
- An error message displays
- An error report downloads automatically
- Errors are highlighted in green
Common issues include missing mandatory fields or location types that do not exactly match existing system values.
3. Updating existing locations
To update existing locations for bulk updates:
- Go to Admin.
- Select Locations.
- Click Export Locations.
- Update the required fields.
- Save the spreadsheet.
Important
You cannot change location names using bulk import. Changing a location name in the spreadsheet will create a new location.
- Click Import Locations.
- Upload the updated spreadsheet.
